Job Description

School District Clerk  
LOCATION: District Office
HOURS: 8:30 AM - 4:30 PM – 12-Month Position
EFFECTIVE: August 7th, 2025
REPORTS TO: The Board of Education; Superintendent of Schools

RESPONSIBILITIES:

  • Manages all activities related to Board of Education meetings and work sessions, including, but not limited to: developing the agenda, preparing and distributing board packets and all required information prior to meetings, preparing meeting room arrangements
  • Drafts correspondence, communications, reports, and other memoranda for the Board of Education and the Superintendent
  • Attends all Board of Education meetings, takes notes, and prepares official minutes of Board of Education meetings and proceedings, and distributes minutes to board members and school personnel
  • Maintains and updates Board of Education Policies
  • Handles annual budget vote and voter registry
  • Serves as Notary Public to the Board and district staff members for notarial certification on forms, reports, etc.
  • Prior district clerk experience preferred
  • Additional duties as assigned by the Superintendent of Schools

Job Qualifications
  • Demonstrates problem-solving and critical thinking skills with the ability to independently address and resolve complex issues aligned with the position’s responsibilities
  • Knowledgeable in the use of BoardDocs, or similar board management software
  • Proficient with Microsoft Office or Google Workspace
  • Strong ability to comprehend, interpret, and communicate complex oral and written instructions effectively
  • Proven record of professionalism, tact, and courtesy, particularly in interactions with the public, staff, and external stakeholders
  • Maintains a high degree of accuracy, attention to detail, and the ability to manage multiple priorities effectively
  • A self-starter who can work independently with minimal supervision and demonstrate strong initiative.
  • Completion of at least two years of college coursework and/or experience in a school office or administrative environment.
  • Familiarity with New York State Education Law and a willingness to stay updated on relevant policy changes
  • Possess a license as a Notary Public in the State of New York at the time of appointment, or must obtain said license within one (1) year of appointment, and must maintain the license for the duration of employment
  • Ability to manage confidential information with discretion and integrity
  • Willingness and availability to work flexible hours, including evenings and nights, as needed
